How to streamline event setup

Has anyone found a great solution for managing event logistics more efficiently? I’m currently looking into software options to coordinate vendor schedules and client requests for an upcoming wedding in June. It can get really hectic, and I want to ensure everything runs smoothly for the couple’s big day.

Using a shared Google Calendar for vendor schedules really helped us out. We were able to sync up everyone’s timing in real-time, which made communication much smoother. Have you thought about using something like that?

‌‍‍‍‌‌‍‍‍‍‍‍‌‍‍‌‍‌‌‌‍‌‌‌‍‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‍‌‍‌‌‌‌‍‌‍‌‍‍‍‍‍‌‍‍‌‌‍‌‍‍‍‍‍‌‌‌‍‍‍‌‍‌‍‍‍‍‍‍‍‍‌‍‍‌‌‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‍‌‍‍‌‌‌‌‍‌‍‌‌‌‌‍‌‌‌‌‌‌‌‌‌‌‌‍‍‌‍‌‌‍‍‍‌‌

One thing that’s worked well for me is creating a detailed checklist for each vendor, which outlines their specific responsibilities and timing. It helps keep everyone on the same page, especially when things get hectic. Have you thought about using a project management tool like Trello to keep track of everything?

‌‍‍‍‌‌‍‍‍‍‍‍‌‍‍‌‍‌‌‌‍‌‌‌‍‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‍‌‍‌‌‌‌‍‌‍‌‍‍‍‍‍‌‍‍‌‌‍‌‍‍‍‍‍‌‌‌‍‍‍‌‍‌‍‍‍‍‍‍‍‍‌‍‍‍‌‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‌‌‍‌‌‍‌‌‌‌‌‌‍‍‌‌‌‍‌‌‍‌‍‌‌‌‍‍‌‍‍‌‌‍‍‍‌‌

I’ve found that having a pre-event meeting with all the vendors really helps align everyone on the timeline. It’s a great way to address any concerns before the big day. Have you thought about doing something similar?

‌‍‍‍‌‌‍‍‍‍‍‍‌‍‍‌‍‌‌‌‍‌‌‌‍‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‍‌‍‌‌‌‌‍‌‍‌‍‍‍‍‍‌‍‍‌‌‍‌‍‍‍‍‍‌‌‌‍‍‍‌‍‌‍‍‍‍‍‍‍‍‌‍‍‍‌‌‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‌‍‌‌‌‍‍‍‌‍‌‌‌‌‍‍‌‌‌‍‍‌‍‌‍‌‌‍‍‌‌‌‌‌‌‍‍‌‌

I’ve found that creating a group chat with all vendors a week before the event really helps keep lines of communication open. It allows us to quickly address last-minute changes without the stress. Have you thought about that?

‌‍‍‍‌‌‍‍‍‍‍‍‌‍‍‌‍‌‌‌‍‌‌‌‍‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‍‌‍‌‌‌‌‍‌‍‌‍‍‍‍‍‌‍‍‌‌‍‌‍‍‍‍‍‌‌‌‍‍‍‌‍‌‍‍‍‍‍‍‍‍‌‍‍‍‌‍‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‌‍‌‍‌‌‌‍‍‍‌‌‌‍‌‌‌‌‍‌‌‌‌‍‌‌‌‍‌‌‌‍‍‍‌‌

And have you considered using a tool like Asana or Trello? It’s great for tracking timelines and tasks across vendors. How many vendors are you coordinating for the wedding?

‌‍‍‍‌‌‍‍‍‍‍‍‌‍‍‌‍‌‌‌‍‌‌‌‍‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‍‌‍‌‌‌‌‍‌‍‌‍‍‍‍‍‌‍‍‌‌‍‌‍‍‍‍‍‌‌‌‍‍‍‌‍‌‍‍‍‍‍‍‍‍‌‍‍‍‍‌‍‍‍‍‍‌‍‍‍‍‍‍‍‍‌‌‌‍‌‌‍‍‌‍‌‍‌‌‌‌‌‌‌‍‌‌‌‍‌‌‍‍‌‌‌‌‍‌‌‌‌‌‌‌‍‍‌‌
